The Ger­man Jud­ges’ Aca­de­my (DRA; her­ein­af­ter also refer­red to as the “con­trol­ler”) coll­ects and pro­ces­ses per­so­nal data of par­ti­ci­pan­ts, lec­tu­r­ers and con­fe­rence chairs (her­ein­af­ter also refer­red to as “data sub­jects”) for the pur­po­se of orga­ni­s­ing con­fe­ren­ces. The fol­lo­wing infor­ma­ti­on is pro­vi­ded in this regard:

3. General information on data collection and processing

The DRA pro­ces­ses per­so­nal data part­ly on a con­trac­tu­al basis within the mea­ning of Artic­le 6(1)(b) of the GDPR, and part­ly on the basis of con­sent pur­su­ant to Artic­le 6(1)(a) and Artic­le 9(2)(a) of the GDPR.

a) Organisation of conferences and evaluation

The DRA pro­ces­ses per­so­nal data of par­ti­ci­pan­ts, lec­tu­r­ers and con­fe­rence chairs on the basis of Artic­le 6(1)(b) of the GDPR.

The pro­ces­sing of par­ti­ci­pan­ts’ per­so­nal data is car­ri­ed out for the pur­po­se of orga­ni­s­ing the con­fe­ren­ces, docu­men­ting the trai­ning, and for sta­tis­ti­cal purposes.

The pro­ces­sing of lec­tu­r­ers’ per­so­nal data is car­ri­ed out for the pur­po­se of orga­ni­s­ing the con­fe­ren­ces, eva­lua­ting the con­fe­rence, and sett­ling fees and tra­vel expenses.

The pro­ces­sing of per­so­nal data of con­fe­rence chairs is car­ri­ed out for the pur­po­se of orga­ni­s­ing the con­fe­ren­ces, eva­lua­ting and docu­men­ting the trai­ning, and for sta­tis­ti­cal purposes.

The eva­lua­ti­on is for­ward­ed to the rele­vant orga­ni­s­ing judi­cial admi­nis­tra­ti­on fol­lo­wing the con­fe­rence to ser­ve as a basis for deci­ding whe­ther the con­fe­rence can con­ti­nue in its cur­rent form, be dis­con­tin­ued in future, or whe­ther a chan­ge in its for­mat is required.

The pro­vi­si­on of per­so­nal data is not man­da­to­ry. The data sub­ject is not obli­ged to pro­vi­de per­so­nal data. Howe­ver, the pro­vi­si­on of per­so­nal data is neces­sa­ry to enable the con­fe­ren­ces to take place. Wit­hout the pro­vi­si­on of data, par­ti­ci­pa­ti­on in con­fe­ren­ces is not possible.

The data reten­ti­on peri­od is gene­ral­ly 10 years, in accordance with sta­tu­to­ry reten­ti­on peri­ods. Once the reten­ti­on peri­od has expi­red, this data will be deleted.

b) Health data

The DRA pro­ces­ses per­so­nal data rela­ting to phy­si­cal impairm­ents and food into­le­ran­ces on the basis of con­sent in accordance with Artic­le 6(1)(a) and Artic­le 9(2)(a) of the GDPR.
The con­sent given may be with­drawn at any time. Howe­ver, this does not affect the lawful­ness of the pro­ces­sing car­ri­ed out on the basis of the con­sent pri­or to its withdrawal.

The pro­vi­si­on of per­so­nal data regar­ding phy­si­cal limi­ta­ti­ons is neces­sa­ry to enable, whe­re appli­ca­ble, accom­mo­da­ti­on in acces­si­ble apart­ments or any assis­tance that may be requi­red during the stay at the con­fe­rence venue. The pro­vi­si­on of per­so­nal data regar­ding food into­le­ran­ces is neces­sa­ry to ensu­re appro­pria­te cate­ring. The data sub­ject is not obli­ged to pro­vi­de this data; howe­ver, wit­hout the pro­vi­si­on of this data, the rele­vant ser­vices can­not be provided.

Data coll­ec­ted on the basis of con­sent will be dele­ted imme­dia­te­ly after the end of the con­fe­rence or as soon as con­sent is with­drawn, whi­che­ver occurs first.

4. Rights of the data subject:

The data sub­ject has the fol­lo­wing rights in rela­ti­on to their per­so­nal data vis-à-vis the con­trol­ler, pro­vi­ded the legal requi­re­ments are met:

Right to era­su­re, Art. 17 GDPR
Right to rest­ric­tion of pro­ces­sing, Art. 18 GDPR

The data sub­ject also has the right to lodge a com­plaint with a super­vi­so­ry authority.

5. Source of data, further information

The DRA obta­ins some of the per­so­nal data direct­ly from the par­ti­ci­pan­ts, lec­tu­r­ers and con­fe­rence chairs them­sel­ves, or from the respec­ti­ve sen­ding judi­cial admi­nis­tra­ti­on during the regis­tra­ti­on process.

Within the DRA, access to per­so­nal data is rest­ric­ted to tho­se per­sons ent­rus­ted with its pro­ces­sing for the pur­po­ses descri­bed above.

No auto­ma­ted decision-making takes place at the DRA.
